Already running on something else

See exactly what moves before anything moves

Upload your fleet and your roster as a CSV. You get a row-by-row preview of what will be created, what is already here, and what we cannot read. Nothing is written to your account until you say so.

Free to start, one aircraft, no card. The CSV importer is included with Small Fleet and every plan above it.

Three steps, and one of them is reading

How a move actually goes

  1. 01

    Export what you have

Get your aircraft and your roster out of your current system as CSV. Most platforms have an export button; some will send you the file if you ask support. Your column names do not need to match ours, and if you have nothing to export, a spreadsheet you type yourself works just as well.

  2. 02

Upload it and read the preview

The importer reads your file and shows you a row-by-row plan: what it will create, what it recognised as already here, and which rows it cannot use and why. Nothing is written to your account until you press the button on that screen.

  3. 03

Fix the rows it flagged, then run it again

Rows already in your account are skipped rather than duplicated, so correcting a file and re-uploading it is safe and boring. That is the property worth having: you are never one wrong click from a fleet listed twice.

What the importer handles

Your file, your column names

Aircraft

Tail number, make and model, category, year, and hourly rate. Tail numbers are matched the way a person would, so N-123AB and n123ab are one airplane rather than two.

Students and club members

Name, email, role and phone. Each person gets an account and an email with a temporary password they change on first sign-in.

Your column names, not ours

Registration, Tail Number, N-Number and Ident all mean the same thing to the importer, and it reads a rate whether the old system wrote 165, $165.00 or 165/hr.

A preview that is the real plan

The preview is built by the same code that does the writing, run against your live account. The number on the confirm button is the number of records you will get.

Aircraft templateMembers templateBoth are two lines long. You do not have to use them.

The part most switching pages leave out

Four things that will not move themselves

None of these are hard. All of them are worse to discover in week two than to plan for in week zero.

Currency records are entered by hand

Flight reviews, medicals, IFR and night currency. We could import these and we have chosen not to. A currency date that arrives wrong is a regulatory problem that surfaces months later rather than a data problem that surfaces at import, so these get typed in and checked against your source, one pilot at a time.

Passwords do not transfer

No system can hand another one a working password, ours included. Everybody you import is emailed a temporary one and sets their own. Plan a short note to your members about it before you send the invitations.

Past bookings stay in the export file

Completed flights arrive with cancelled and no-show rows mixed in, and loading those distorts your utilisation reporting from the first day. Keep the CSV with your accounting records, where it answers a billing question just as well.

Recurring bookings are rebuilt

A standing Tuesday-at-ten slot almost never survives an export intact. It comes across as either one booking or two hundred. Write yours down before you start and set them up again here.

For the longer version, including when in the year to switch and how to run both systems side by side, we wrote the whole migration plan out. It names the things that break regardless of which software you are moving to, ours included.

If you would rather not

On Full Fleet and above, we do it with you

Send us your export and a real person reads it, maps the columns, runs the import alongside you and checks the result against your source. It is the same importer doing the same work. You are paying not to be the one doing it.

See what each plan includes
  • We read your export and tell you what is usable before you commit to anything.
  • We map your column names to ours and run the preview with you on the call.
  • We spot-check the result against your source, including the time zone on your bookings, which is the error nobody catches by looking.
  • We do not put a date on it. How long it takes depends on your export, and we would rather say that than pick a number.

The questions operators actually ask

Switching, answered plainly

How long does it take?
We do not put a number on it, because it depends on how clean your export is and how many currency records need checking by hand. The import itself takes minutes. The honest planning assumption is an afternoon for the data and a couple of weeks of running both systems side by side before you switch off the old one.
Can I try it before I commit?
Yes. The free plan covers one aircraft and one instructor with unlimited students and members, permanently, with no card. That is enough to see the product with your own people in it. The CSV importer is part of the paid plans, so you would move up before running a full roster through it.
What happens if the import goes wrong?
You see it before it happens. The preview lists every row and what will become of it, and nothing is written until you confirm. If something does land wrong, aircraft and members can both be edited or removed on their own pages afterwards.
Will you do the migration for me?
Hands-on help is included with the Full Fleet plan and above. That means a real person reads your export, maps the columns, runs the import with you and checks the result. On the other paid plans you run the importer yourself, which is the same tool doing the same work.
What if my current system will not export?
Some will send you a file if you email their support even when there is no button in the interface. Failing that, most have a print or report view you can copy into a spreadsheet. And you do not need history to start: your aircraft, your roster and your future bookings are enough to run on, and those are the smallest part of any export.
Can I get my data back out later?
Yes, as CSV, from the pages it lives on, on every paid plan. We would rather you stayed because the software is good than because leaving is expensive.

Try it with one airplane first

The free plan covers one aircraft and one instructor with unlimited students and members, permanently, with no card. Put your roster in, run a week of real bookings, and decide from there.
